
Conditions of Entry
All paintings accepted will be exhibited at the Sherbrooke Art Society Gallery
1. Who can enter
1.1 The exhibition is open to all financial members (except Associates/International) of the Pastel Society of Victoria, Australia (PSVA)
.
2. How many paintings can you enter
2.1 Members can submit a maximum of 2 (two) Pastel paintings in total.
Pairs of paintings will be considered as 2 (two) entries.

3. All works must be for sale
30% commission shared with Sherbrook Society Art Gallery is retained for each artwork sold.

4. Acceptable Paintings
4.1 Original Work Only
No physical assistance, instructional guidance, or contribution from another artist, demonstration or lesson material is permitted.
All artworks must be created independently by the submitting artist.
4.1a Consent
Entry into this Exhibition is conditional upon completing & signing the Originality & Permissions Declaration Label at https://vicpastel.com.au/annual-exhibition-opd-label which is your confirmation that you have the necessary permission/s from photographer/s, model/s, original creator/s, for any reference material used in the creation of your work.
4.2 Work must be 80% Soft pastel
Mixed Media works are accepted, providing the work is 80% Soft Pastel
4.3 Painting Size Requirements | Entry Fee
| Small Paintings | up to 700mm (longest edge) including frame | $15.00 |
| Large Paintings | up to 1250mm (longest edge) including frame | $30.00 |

4.4 All artworks are displayed at the discretion of the PSVA. We reserve the right to refuse to hang artworks.

5. BEFORE FRAMING – take a photo of your painting
5.1 All exhibition entrants must submit a high-resolution photograph (above 300dpi) of their painting BEFORE framing – in .JPG. JPEG or .PNG format
The image must be edge to edge of the painting. Matting or framing must not be visible.
The photographs must be taken ‘square’ and ‘front’ on.
If the photo is not acceptable standard, the painting will not be included in the exhibition. Entry Fee will NOT be refunded.

6. Framing
6.1 Paintings must be professionally framed under glass with ‘hanging wire’ and D-rings.
6.2 Paintings framed with perspex, rope or projecting screws will not be accepted
6.3 Paintings with damaged glass or frame will not be accepted (subject to Committee discretion)

7. Entry
7.1 Online registration and payment process must be followed.
7.2 Entry Fees noted at Condition 4.3 above and detailed in the [Fees and Commissions] page are payable for each painting on entry registration.
7.3 Entry Fees are not refundable.
7.4 Artists are required to provide their contact numbers, email address and bank account details for payment of sold paintings.
7.5 Artists will be asked to nominate their Artist Status (Hobbyist, ABN/GST, ABN/No GST).
7.6 Artists will be asked to indicate if they qualify for the Emerging Artist Award, PSVA Award, Margaret Lourey Award or John Withers Scholarship Award.

7.7 After Registration closing date, NO CHANGES are to be made to paintings, painting titles or sale prices

- Entry Registration and Payment
8.1 Complete the online Annual Exhibition 2026 Entry Form on our Annual Exhibition webpage
8.2 Upload the photograph of your unframed painting. Refer Condition 5 above for photograph requirements.
8.3 Pay Online to complete entry – go to the Annual Exhibition webpage and scroll down to the Payment section.
8.4 Completing the Entry Form [add link] and payment constitutes your consent and authorisation for the PSVA to photograph, video and/or publish your work for the purposes of the Annual Exhibition catalogue, announcing Award winners and/or promoting the PSVA and our Annual Exhibition by any means

- Label and Delivery of Paintings
Painting label at https://vicpastel.com.au/annual-exhibition-opd-label must be printed, filled out, signed and attached to the back of each artwork.
All artworks must be delivered to Sherbrook Art Gallery – Important Dates webpage
Artists are responsible for postage/freight/delivery of paintings to exhibition during Gallery Open Hours

- Exhibition
10.1 The PSVA will take care in the handling of Artwork but will not be held responsible for any damage to any Artwork submitted.
10.2 Paintings are displayed at the discretion of the PSVA. We reserve the right not to hang paintings that are deemed inappropriate, do not match the description on entry registration, do not meet framing requirements, are missing any required consents
10.3 Paintings are not to be repositioned while on display

- Collection of Paintings
11.1 There will be no provision for early or late pick-ups
Your painting must be picked up on Sunday 15 November 2026 during the hours of 12:00 noon & 3:00pm.
11.2 If a person other than the Artist is collecting your painting/s after the Exhibition is closed, the Artist is to provide their written permission via email to exhibition@vicpastel.com.au of the person’s name, to enable that person to pick the painting/s up from Sherbrooke Gallery.
